Wellness Together, a California 501(c)(3) nonprofit organization, partners with schools statewide to increase access to mental health services for students and families. By collaborating with universities and graduate programs, Wellness Together provides cost-effective “turn-key” social-emotional interventions on school campuses across California.
We are committed to developing school-based mental health practices that go beyond traditional medical care and provide much needed social-emotional support at no cost to the student or their family. We advance school-based health by:
- Advocating for state and national policies that support school-based mental health services
- Providing training to staff as well as the community on mental health
- Hosting the annual Student Mental Wellness Conference which partners with the CA Department of Education
- Cultivating new and existing partnerships to spread best practices and improve school-based mental health
Summary of Position:
Under the direction of the Program Managers or their Designee, the Wellness Together Administrative Assistant strives to maintain scheduling, timecards, and note-reviewing systems to ensure that the Wellness Together model is functioning effectively to provide students at our partner schools with high-quality, dependable, data-driven mental health and social work services.
Responsibilities:
- Assist in the oversight of mental health providers’ progress notes, caseloads, timesheets, calendar, schedule, assessments, informed consents
- Review, approve, or flag progress notes and communication logs for Coordinator or Manager review.
- Responsible for sorting and maintaining electronic and or hard copies of charts and or school report forms.
- Assist with the collection and analysis of data pertaining to the school-based therapy program.
- Organize and transform information into comprehensible structures.
- Prepare reports and subsequently present to management for dissemination to stakeholders
- Monitor data quality and flag corrupt data
- Other duties as assigned

- Health Insurance Portability and Accountability Act (HIPAA), Family Education Rights and Privacy Act (FERPA)
- Confidentiality and ethics requirements

- Read, interpret, apply, and explain regulations, policies, and procedures

- Operate various office equipment, technology, and software programs
- Maintain records and prepare reports
- Establish and maintain effective and collaborative working relationships
Education and Experience:
- High school diploma or GED required. Some college is a plus
- One year clerical experience; or equivalent combination of education and experience preferred. On the job training will be provided
- Experience in a medical, educational, or therapy setting preferred.
- Excellent written and verbal communication skills
- Highly organized, good at problem solving, and interpersonal skills.
- Must possess complete knowledge of general computer and telephone operations.
- Must be knowledgeable of multiple software programs, including but not limited to Google Drive, Google Docs, Google Sheets, Microsoft Word, Outlook, Excel, and the Internet
- Must have ability to be flexible within fast-paced dynamic environment and meet deadlines
